● Perform variety of administrative and executive support task that are highly confidential and sensitive.● Coordinate and facilitate general manager’s calendar to arrange appointments, meetings and conferences. ● Preparing & maintaining employees filing system in a professional manner. ● Responsible for getting credit deals with regards to hotels and suppliers.● Maintain a clean, professional and safe working environment by inspecting and scheduling maintenance, and ensuring that all office equipment is properly accounted for and in safe working condition.● Coordinate with client service department to prepare monthly billing details.● Preparing presentation for management meetings.● Negotiate the purchase of office supplies and office equipment in accordance with company purchasing policies. ● Provide support to staff; staff meetings, provide logistic arrangements and necessary support on as needed basis.● Handling the staff inquiries from all the departments with regards to the hotels and flight booking.● Provides assistance for accommodation & flight booking for BBDO MENA official guests visiting the BBDO Riyadh Saudi Arabia.● Deliver quality service to BBDO employees with regards to their hotel and flight reservations. ● Responsible to make bookings for flights, Frequent Business trips of General Manager, Creative and Client service department going for shooting on commercial add of clients like Riyad Bank, Abbott Pharma, Tawuniya and MODON etc.● Attending the visitor(s) and determine the nature of their visit(s); alert appropriate party of visitor(s) arrival or direct visitors to appropriate office, department or employee.● Develop and maintain a current and accurate filing system for both hard and electronic copies.● During work experience I had opportunity to work in almost all departments of the company.● Handled desktop support during absence of IT administrator.● Handled finance duties in absence of finance manager.
