CurrentProvide advanced, diversified, and confidential administrative support to the Division Head & department faculty, ensuring smooth operations & efficient workflow. Manage a wide range of functions, including confidential records, event organization, financial transactions & department wide communication. Support leadership in achieving goals through effective organization of schedules, projects & events.●Correspondence & Document Management: Draft, edit & process routine & non-routine correspondence, reports & documents. Prepare materials for meetings, conferences & maintain confidential records.●Financial & Budget Administration: Handle faculty expenses, reimbursements, vendor invoices & purchase orders to ensure timely payments. Assist in managing the department’s budget & financial records.●Meeting & Event Coordination: Organize internal & external meetings. Oversee logistical planning, sponsorships, travel accommodations, and equipment needs.●Calendar & Travel Management: Coordinate administrative schedules, including the Division Head, Team PTO & department call calendar. Arrange travel itineraries for faculty & guests.●Office & Supply Management: Maintain office supplies & equipment, process repair tickets & manage conference room requirements. Ensure operational efficiency in the office.●Confidential Record Keeping: Manage personnel records, process faculty licensing & reappointments & maintain confidential documents.●Departmental Communication: Serve as main point of contact for marketing updates, managing weekly Instagram posts & collaborating w/ the marketing team with neurosurgery division updates.●Special Projects & Department Support: Assist with special projects a& events, including faculty dinners, symposiums & graduations. Manage Spanish translations of patient materials & handle ad hoc tasks as needed.●Customer Service Focus: Ensure service excellence by delivering high-quality support to faculty, staff & external stakeholders.
