Administration role at Inverurie COVID-19 Immunisation Centre

Established consulting business offering services on a freelance basis with a focus on management accounting, audit preparation, financial reporting and daily accounting tasks (banking and treasury, purchase and sales ledger, credit control) to SME’s in Aberdeen city and shire.Projects undertaken:Worked with bookkeeper to manage daily bank reconciliations, cashflow monitoring and forecasting, purchase ledger, sales ledger (billing), credit control. Worked with team on implementation of ticketing and billing system, purchase ledger software and direct debit management software. Bulk monthly billing.Ensured smooth transition and integration of software packages with Sage 50, reconciled sales in order to ensure accuracy of bulk billed revenue figures in line with service agreements in system.Liased with external auditors, prepared balance sheet reconciliations. Managed VAT returns, VAT audit and HMRC reporting. Creation of management accounts packages for MD & General Manager including P&L, Balance Sheet, product and revenue stream breakdown with profitability analysis by department. Streamlined monthly accruals and prepayments journals. Prepared accounts for consolidation of acquired company and provided intermediary service between external accounting firms and company management team.Thorough audit preparation including year-end reconciliations, update and control of Fixed Asset register for large fleet of vehicles. Reconciled and matched large number of vehicle finance agreements with fixed asset register, disposals and additions. Researched software packages (Sage One Cloud, Sage Cloud Accounting, Xero, FreeAgent) offered bookkeeping/training set up packages, help with VAT registration and returns, helped establish best practice financial processes for early stage businesses.

Member of the senior UK management team this role encompassed all financial reporting aspects for the segment. Company growth led to role changing to involve higher focus on structure, people, financial and resource aspects. Deputised for Managing Director assisting from start-up (in 1999), with growth and smooth running of the UK operation. Revenue £900K Y1 - £18million YE 2015. Position responsible for all aspects of financial reporting for the UK subsidiary of a global underwater technology group. Monthly and annual financial accounting (P&L, Balance Sheet), budget comparison, statistic reporting, control of cashflow, stock, aged debtors, creditors, VAT, HMRC imports and exports. Deputised for Managing Director with staff of 60 at time of leaving. Handled 2 company acquisitions during this time including incorporation of staff and amendments to processes.

Handled all aspects of financial function on a daily basis – sales invoicing, purchase ledger, cashflow, banking, credit control, moving to management of all functions as company grew. Managed all aspects of financial reporting for UK operation to tight monthly deadline: Monthly management reporting pack for UK and Group teams:Profit & Loss, Balance Sheet, Sales Backlog, Stock ReconciliationManagement of WIP adjustment (live projects and costs) and monthly adjustments for Accruals, Prepayments to ensure that costs and revenue were accounted for in the correct periods. Led, trained and recruited for finance, sales administration, stores, shipping departments. Lead interface between sales and financial functions.Responsible for accurate billing and ensuring that sales administration and contract review was completed accurately in accordance with agreed prices per proposals and contracts in order to ensure billing to tight monthly deadline could proceed without delay.Collaborated with group ERP controller on system testing to achieve our goal of utilising Dynamics and BI software to give visibility of revenue and profitability on the full company product portfolio. Became go to person for this within group. Created process for tracking and measuring on-time delivery v’s delivery promised enabling business to monitor KPI’sHMRC reporting and management of VAT returns, Intrastat, EC Sales. Quarterly Corporation Tax calculations and payments. Customs control (FCG, IPR, Temp Import) Ensured correct tariffs and CPC’s were applied - crucial to maintaining profit levels, cashflow and controlling costs.

Joined MacArtney at start up in UK. Sold MacArtney range of products managing full process. Cost calculations, quotations, established relationships with customers based on trust and service. Contract review and negotiation. Procurement of parts in accordance with project needs ensuring on time delivery and timeframe expectations were met.Sales billing in accordance with sales orders and agreements. Ensured prices were accurate. Processed orders from start to completion including final billing and collection of payment.

Demanding customer facing role primarily serving the oil and gas service sector with sale and hire of instrumentation, test and calibration equipment. Full sales process: Calculations, quotations, contract review, procurement, ensured stated delivery could be met and collaborated with technical and administrative staff to ensure it happened.
