-Maintain daily schedules distributed throughout the office as well as the corresponding signage throughout the studios.- Greet all visitors and clients - Coordinate packages, mailings and messengers, for studio and client deliveries; send and deliver faxes, packages and mailings for clients. - Inventory and order and maintain office supplies. -Work with producers and clients on communicating the location of various types of high end merchandise, incoming and outgoing ensuring proper delivery.- Assist the Studio Manager with corporate HR paperwork and reporting. - Assist the Studio Manager with corporate accounting and budgetary paperwork and reporting. -Submit background checks, drug screen orders and verifying employment federally. - Assisting Studio Host with ordering and dispersion of daily catering for 20-50 people.- Act as a general information resource as for clients and visitors.- Maintain the cleanliness of all studio and office areas.-Track and reconcile all petty cash transactions as well as file monthly reports on those expenses.-Track all purchases and maintain all receipts for up to 3 company credit cards.-Assist photo producers with research and procurement of props, backdrops, and catering as well as ensuring payment on those items.-Act as a representative of the studio in regards to managing building related requirements, notices, permits, maintenance and compliance.-Coordinating transportation needs for clients as well as studio and office staff. -Prepare and submit payroll weekly for office staff as well as 30-50 freelance photographers, digital technicians, stylists, and assistant stylists. -File, code, and submit 20-50 invoices per week from various vendors ranging from building/office maintenance to talent agencies and software providers.
