Program Admin - Staff Management
Current• Run monthly Time & Materials ("T&M") meetings with Project Managers and Program Executives to manage team budgets, forecast resource schedules, plan budget modifications, and report potential issues.• Collect and track T&M contractors' planned time off to ensure budget needs are met. • Create and audit monthly T&M reports for review by our confidential customer.• Maintain high-level confidentiality and security protocols for all documents.• Manage all project staffing and on-boarding activities, including sourcing initiation, interview coordination, NDA execution, rate negotiation, background check validation, contract execution, access requests, and orientation. • Assist vendor on-boarding and maintain vendor relations.• Prepare weekly timesheet reports on the 24/365 security team for our confidential customer.• Prepare and present weekly status updates on all T&M reporting and staffing activities to the PMO and Program Executives.• Assist Program Management Quality Assurance to gather and analyze current process metrics and identify business process improvements.• Perform quarterly and annual audits of process documentation related to staffing and PMO administration.• Assist contracts team with annual vendor renewals and quote requests.• Work in a virtual setting via telephone, Teams, SharePoint, One Drive, internet, and email• Routinely update tools, records, and documents• Procurement support• Various administrative PMO tasks
