Assistant Property Manager

• Promoted to Assistant Property Manager within three years of joining the company.• Assist with weekly inspections of the property, tenant spaces to ensure compliance with leases, and vacant suites. • Ensure property is in compliance with all state and local code requirements. • Ensure all fire/life systems are in good working order and meet safety code requirements. • Assist with 24-hour emergency coverage for the property.• Prepare and submit incident and property damage reports. • Identify, qualify, bid and select third-party vendors/consultants to perform necessary maintenance requirements such as landscaping, irrigation, roof, HVAC’s, parking lot, signage, utilities etc.• Participate to ensure the first-class appearance and optimal performance of each asset.• Work to effectively deliver first-class customer service for tenant retention. • Respond to tenant requests/problems in a timely and courteous manner and assist in the generation of work orders directed to vendors or staff. • Follow-up with tenants to ensure satisfactory resolution of issues.• Help coordinate the transition for new and/or expanding tenants as well as tenant move-outs.• Work with the management to facilitate the completion of landlord’s work and tenant’s work for new, remodeling or expanding tenants.• Assist in lease compliance items including rent collection, rent adjustments, late charges, certificate of insurance, gross sales, HVAC PM contracts and any other lease obligations. Generate necessary legal action, documents and process in accordance with company guidelines.• Assist with the preparation of annual CAM reconciliations ensuring proper treatment of tenant lease language, expense caps, exclusions, etc. • Work with the property management team to identify and work with struggling tenants.• Assist with reforecast and annual budgets. • Assist with monthly reporting (variance reporting, accruals, A/R, etc.).
