  Current Duties• Effectively manage the day-to-day operations in the Aesthetics Practice • Maintains an orderly and efficient office routine.• Assist the Dr with procedures• Supervise all office staff• Scheduling of patient appointment• Sending daily appointment reminders to patients• Schedule follow up and recall appointments• Follow up with each patient the day after treatment / procedure• Answers patient calls, letters and other correspondence as appropriate• Maintain adequate staffing levels to cover busy periods• Manage and order office supplies• Manage and order all product stock• Manage and order all medical stock• Maintain accurate records and files pertaining to staff schedules; maintains personnel records• Review statements, invoices, receipts, and charges• Monthly payroll for all staff• Ensure that the cash drawer is reconciled daily• Balanced cash-up daily• Proactively seek ways to improve the Practice• Maintain a clean and tidy waiting and reception area• Greet and welcome patients and Visitors• Deal with pharmaceutical reps• Ensure that all necessary paperwork & consent form are accurate and completed• Maintain all machinery / equipment• All aspects of general office software, as well as specific programs that handle billing, records, and scheduling• Compiling the bi-monthly tax file• Project management of open day functions
