• Assists the Hotel Director with administrative project and clerical work by performing the following duties. • The very nature of the position requires that the Hotel Administrative Assistant displays the utmost confidentiality and discretion.• Performs administrative duties such as screening telephone calls, answering and sending emails, making and coordinating appointments, scheduling meetings and maintaining filing systems and overall organization of the Hotel Director's office. • Takes minutes at meetings and distributes as needed. Makes copies of correspondence or other printed materials and distributes as needed.• Sends, receives and distributes fax messages as required.

 Senior Facilities Manager’s representative for the division’s time and attendance & ensures all time and attendance guidelines are followed. Assists in the preparation of division budgets, monitoring of monthly & weekly financial results and drill down. Preparation various report in regards of Facilities Division budgets.  Tracks report suspense’s, maintains files and logs as required by SQM and USPH, scheduling meetings and maintains filing systems.  Reviews guest's comments and rating reports. Train Dispatchers and verifies their competence. Reviews crew scheduling, sign-on & sign off reports for accuracy and errors. Conducts research and compiles information to prepare reports for the Senior Facilities Manager and Facilities Manager’s review.

 Assist the Facilities Manager with their daily administrative duties (Such as Daily Reports, Progress reports in Excel and complete administrative responsibilities of the division).  To receive and process calls for AVO work orders. Maintain the required log books and checklists.  Confirm departmental “Time and Attendance” information and payroll entry. Responsible for distributing the pay slip during the pay day & handling the cash transaction of due payments. Collecting due payment cash from facilities crew, tally the money and submit to2nd Payroll Purser. Handling mails and complete responsible to answer those mails.
