CurrentRecruitment and Selection• Draft/support vacancy announcement based on CNRS formats for approved recruitments• Participate and facilitate in the recruitment process• Organize interviews and prescreening interviews• Participate/facilitate in the staff interviews and ensure transparency in line with CNRS HR policies and procedures• Check references, generate offer letters for the selected candidates, and issue them• Ensure the recruitment files are complete and updated with every recruitment• Contract management of staff (including staff contracts, extension, amendments, transfer, and engagement)• Ensure recruitment processes are in line with CNRS PoliciesPersonnel File Management• Collect documents from employees as per standard checklist• Manage the personnel files and ensure they are up to date with all the required documents• Ensure confidentiality of the personnel fileAttendance and Leave management:• Ensure the effective attendance of staff in all offices and work closely to manage attendance• Ensure that all staff follows the leave and absence procedures and that all forms are accounted for in all offices.• Track the attendance of all staff day-wise in CNRS format.• Track leave database, eligibility, availed and closing balances of leavesAdmin Responsibilities• Ensure a safe; secure and professional workplace• Ensure that all new staff receive an induction on Administration systems and procedures• Ensure the proper functioning and repair/maintenance of utilities, facilities, and office equipment• Participate in the preparation of the administration budget ensuring all relevant support costs for the office are included and expenditure monitored• Organize, assign and supervise the work of administrative support staff• Carry out necessary repair and maintenance of office premises and inside an office building, electrical machine, photocopiers, etc• Ensure timely submission of monthly timesheets
