Office Manager
CurrentOffice/Facilities Management•Provide direct administrative supports as needed, including scheduling appointments, meetings, and events, booking travel, maintaining filing system, mailing and shipping packages, and updating contact database and employee list•Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested•Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)•Supervise maintenance and repair of facilities and equipment. Oversee facility refurbishment and renovations. Manage facility central services such as reception, security, cleaning and catering. Respond to facility and equipment alarms and system failures. Perform all Fire Deputy duties for office floor in accordance of the Fire Department of New York City. Travel Management •Oversee company travel program Egencia for all staff and consultants. Implement rates and budget for all legs of travel (Air, Hotel, Car, Train) • Create User Profiles, Approve and Review Travel bookings. Be on call for any questions, approvals and last minute booking. • Manage travel Corporate Accounts (Enterprise, National, Hertz) • Coordinate travel for Managing Partners and Executive StaffAccounts Payable• Account and review all company American Express Credit Cards activity • Produce weekly expenditure reports • Maintains accounting ledgers by verifying and posting account transactions. • Enter payroll commissions for recruiting staff • Coordinate Rent payment for Regus locationsMarketing • Coordinate all national and international logistics for conferences. (Booth/badges payments, shipment of materials, brochures, booth set up. Communication with directors of each conference.)• Handles marketing supply inventory.
