    With many varying roles in the VET sector since 2003, the last few years has seen an increased focus on using my advanced industry knowledge to assist a number of RTO’s with their data management. Combined with my advanced knowledge of User Choice claiming nationally, experience in management of RTO administration teams, my completion of the Monash University Data Analytics Bootcamp gives me a strong foundation in Data Analytics to provide support to businesses.Working across a wide range of RTOs from small not-for-profits, to high schools running VET programs, to medium and large providers both in the private and government sector has provided an excellent grounding in the many varying needs of each individual Organisation.One of the most important steps in engaging with a client is the scoping - how does that RTO run their business and what are their pain points? Services provided to clients include adhoc site visits reviewing areas of concern, regular (weekly/fortnightly/monthly) days on site reviewing data and processes, short term projects such as managing the migration of Student Management Systems and rolling out the staff training and implementation or remote projects such as my monthly Claim Management service.

    My primary responsibility with Salmat Learning was to review and manage their administration procedures, improve the overall visibility of all team members and senior leadership team, increasing ownership of all data as well as providing strategic analysis of the RTO business. I developed dashboard reports to highlight process inefficiencies and designed strategies and documents to overcome identified needs. This included areas such as enrolment, undertaking and recording monthly contact, adhering to business imposed KPI's, claiming forecast and review (federal and state level funding) as welll as the processing of completions.All have been designed to ensure adherence to all regulatory requirements, improve the efficiency of the admininstration and training teams, and the availability of quality data to allow detailed and accurate forecasts.Using my advanced knowledge of VETtrak, I created tailored reports for both operational staff and management staff to allow regular review of the data and easily identify any areas where further investigation may be required.

    My initial responsibility with Performis was to use my extensive knowledge of the Victorian Training Guarantee to review the Performis claiming data and identify any concerns that could be addressed. This short term project identified large numbers of un-claimed units with significant financial gain to the RTO. Administration training was developed and conducted to ensure all administration staff was aware of the data requirements for claiming and all future claims were maximised.The next big project was orchestrating the data migration from Wise.NET to VETtrak. This was achieved with minimal downtime and in line with timeframes provided to senior management. Training manuals were developed and the relevant staff trained in the use of VETtrak before “going live” to ensure there were no delays once all data was successfully migrated.Once these projects were successfully completed, I was responsible for the ongoing data management of the national database. This has included developing a comprehensive reporting suite to cover the whole process of training – from initial engagement, through the training process and right to completion/cancellation. Using VETtrak reporting, I have worked with the senior management teams to develop "Operations Scorecards" to provide data to the national team to manage their workloads and ensure that performance against established KPI’s are reported weekly.

    I was approached to assist Aegis in a short term contract role to review their online Learning Management System and their VETtrak database and build a system that allows them to compare the two systems and identify students that require review and potential claim adjustment.Using mapping from an online programme delivered through an online Learning Management System, I created an Excel database that converts the data from an online LMS into a format that could be bulk-uploaded into VETtrak. This project identified over 200 students that were eligible to commence claiming, as well as another list of students identified as requiring more information to align with compliance requirements.I also spent time with the Administration Manager instructing them in the claiming procedures for QLD, SA & WA, resulting in the development of User Guides for each state procedure.

This involved assisting in the final part of the sales process, before developing regular communications to be distributed to the national management team to assist in the smooth implementation of national clients. This included new large clients as well as the introduction of new projects for existing clients. The successful implementation of these projects, using the Client Implementation Procedure, was received with great appreciation by the clients who felt that their needs were more clearly identified and addressed, as well as by internal staff who were receiving far clearer goals and timelines to ensure a smooth implementation.
