Supporting the strategic development and operational management of the personnel function and services for the academy in compliance with agreed regulations and procedures, to effectively support the trust’s operations. Preparation of personnel related data/reports, processing payroll and contract variations and ensuring DBS/safeguarding compliance requirements are met and recorded accurately.Administration and maintenance of accurate and secure computer and paper-based personnel information. Administration also including preparation of papers for senior management, governors and board meetings.Working closely with the Finance Manager and the payroll provider to ensure all staff contracts are accurately recorded with appropriate salary commitments.Ensuring all appropriate policies and procedures are in place, current and meet legal and legislative requirementsLeading on Investors In People, and proactively promote staff wellbeing..

Co-ordination and administration of the recruitment and selection process, including placement of adverts both in relevant media and online, the production of application packs, the carrying out of reference checks, the co-ordination of interviews and the completion of post appointment administration. Maintaining and managing the academy’s Single Central Record for Safeguarding and Vetting, ensuring the academy meets all legal requirements for the checking of eligibility to work and identity of individuals. Safeguarding responsibility relating to all relevant visitors, supply staff and volunteers, ensuring they have valid and appropriate DBS clearance.Assisting with the induction process for new staff and provide administrative support as required, including updating of induction documentation, developing the programme of induction and providing information as required.All administration and action in relation to starters and leavers and other contractual changes, including the preparation of offer letters and contractual documentation, the updating of online records and the administration of exit interviews.Advising key staff of starters and leavers, including setting up of log ins/passwords/accounts, issuing of keys, pigeon holes, ID badges and arranging for furniture and equipment to be provided as necessary.Processing and maintaining accurate records of overtime claims, additional payments made to staff, time off in lieu and leave entitlement.Administrating the staff absence system, producing monthly statistics, following up on absence certification and occupational health/BUPA referrals, and flagging up individuals who trigger relevant stages of the absence procedures.Ensuring that all manual and electronic HR records are stored securely and kept confidential, are archived for the relevant period of time and disposed of in the correct manner.Maintaining academy staff lists, telephone lists and organisation charts.
