Management Assistant
CurrentMy responsibilities as a Management Assistant are to support the District Nursing Management and provide an effective delivery of services, arranging and attending meetings and events including preparation and circulation of all associate papers / documentation, minute taking including specifying decisions made and any action points for subsequent approval by the senior member of the group. I am responsible for taking forward allocated action points and to follow-up on any others to ensure all parties are aware of and and are working towards completion timescales for all communication into the office including those that are electronic, paper, telephone and face to face in support of the management team is managed by myself, in particular during times when they are out of office on or periods of absence. Flagging up urgent issues as appropriate to the Management teamI provide all office duties including photocopying, scanning, mail, telephone, locality in-box, filing, ordering of office stationery and administration of annual leave are accurately recorded eg completion of SSTS , ERoster and PECOS. I am required to maintain spreadsheets to accurately record sickness and other absences to support monitoring and to ensure that NHS Lothian policies (i.e. Absence Policy) are adhered to and problems suitably addressed, acting as the first point of contact for staff notifying an absence. Within the scope of my role, I am also required to maintain the NMC registration database and process all courses, conferences, study leave forms etc, ensuring they are authorised and staff are booked onto internal/external courses and invoices received, and maintain an accurate staff list of District Nursing team employed staff to support effective peoplemanagement and provide administrative support to the team.
