Liaise with other humanitarian/governmental actors:- Representing IOCC/Apostoli in UNHCR Coordination mechanism (Co-chairing in National Food Security Working Group). - Provide substantial assistance in the implementation of inclusive, field-level humanitarian coordination mechanisms, including liaison with UNHCR representatives, international and local NGOs, and local authorities; support sector/cluster working groups as required; and facilitate exchange on cross-cutting issues;- Liaise with humanitarian partners on the collection of information to effectively map areas of humanitarian needs and response activities in support of coordination efforts5. Reporting:- Prepare situation reports highlighting relevant operational factors affecting the humanitarian situation and response efforts as required for internal and external use;- Prepare detailed financial reports and Cash requests in close cooperation with Apostoli’s accountant ensuring that Project is accordance with the project’s budget. - Maintain project documentation including records of transactions;- Maintain data and regularly report in written form to Apostoli in Athens on the profile of new arrivals, entry, first reception and referral practices, on the further administrative treatment of new arrivals and other developments;2. Procurements - payments: - Conduct market research analysis before any procurement. - Prepare tender procedures (drafting RFQ – Specifications) and evaluate bids.- Prepare and maintain all documentation needed (Requests for expenditure) in order the accounting department to proceed with any payment.3. Logistics: - Liaise and communicate on a regular basis with Apostoli’s Warehouse manager and all transportation companies involved to manage all commodities transportation to the sites of operation. - Creation and keeping an online database system that indicates in detail distributions information (i.e. distributed items, existing stock of commodities in each warehouse etc). - Checking on a daily basis the available stock of each type of commodities for further procurements. 4.
