CurrentDay-to-day Scheduling and Office Responsibilities: Managing the CEO’s daily calendar. Coordinating with Economic Club members’ assistants. Scheduling one-on-one and project meetings with the staff. Preparing for meetings with context and research and logistics preparation. Anticipating needs, proactively adjusting schedule as needed. Managing meeting hospitality at the office, including greeting visitors, arranging refreshments, and preparing office space for meetings. Long-term Schedule Management: Inputting data and accessing reports and information in Salesforce. Managing and filing documents electronically. Managing meeting cycles (e.g. note-taking and prioritizing, context). Identifying efficiencies in internal processes and meeting cycle. Communication: Supporting CEO in managing priorities- serving as a soundboard and thought partner to assess and prioritize needs. Drafting and editing letters, memos, and other correspondence; proofreading and editing documents and office communications for the President & CEO. Responding promptly to emails, phone calls and Slack messages from CEO, members, staff and external stakeholders. Understanding context for meeting requests and event invitations (need to prep and understand details of events and attendees). Special Projects and Additional Responsibilities: Event preparation and staffing at Economic Club of Washington, D.C. Signature Events, special programs, and other opportunities related to membership engagement, both in-person and virtually – including in the evenings and early mornings. Oversee the CEO’s special projects and events, like seasonal staff celebrations, birthday acknowledgements, and other internal functions. Plan and coordinate domestic and global travel. Arrange flights, rail service, hotel and car service reservations. Prepare a detailed travel itinerary prior to each trip. Tracking, reconciling expenses and submitting reimbursements in a timely and thorough manner.
