Calendar Management: Effectively coordinate meetings for VP of Sales and manage calendar invite requests across multiple time zones. Anticipate scheduling conflicts and proactively act accordingly. Document Management: File expense reports on behalf of the VP and Sales Director, review and approve sales employees expense reports, ensure accurate organization and accessibility of documents via Teams., create/assist in organizational chart development.Meeting Coordination: Organize and facilitate zoom conference meetings for the PT Sales Leadership Team and others as requested, distribute agendas, compile presentation materials, take notes and assign action items accordingly. Both lead and assist in the scheduling of trainings, quarterly/annual meetings and employee engagement events, both virtual and in-person. Create agendas, work with speakers/presenters, hotel contract review and on-site set up, rooming lists, meeting materials, distribute recordings of virtual sessions, luncheon and off-site activity planning, etc. Communication: Serve as an additional point of contact for the VP of Sales. Draft and distribute communications on his behalf. Assist in the communication distribution for companywide projects, updates and trainings. Compile and develop content, design and distribute quarterly sales newsletter and quarterly sales awards. Run planning and practice calls, compile materials and develop slide deck for monthly Town Hall Meetings.Travel Arrangements: Manage, coordinate and book travel, including flights, accommodations, transportation and visa arrangements if required. Build and distribute itinerary for various levels of ELT US customer visits and overseas travel.Special Projects Support: Assist with special projects, initiatives and presentations as assigned.
