This position is responsible for data entry, reviewing closing packages, and closing deals in a paperless environment using internal accounting to pay Sales Agents, Referrals and Cooperative Brokers.The Commissions Processor is focused on ensuring accuracy, timely completion, and the highest level of customer service to our Sales Agents and Branch Offices. Review closing packages submitted from Branch Locations to ensure accuracy and completeness. Data entry of Closing Demand Authorizations into internal accounting software. Audit closing documentation which may include commission checks, HUDs, purchase contracts, etc. to close the deal in our internal accounting systems. Provide support with excellent communication to Vice Presidents, Branch Managers and Office Administrators in our branch offices in response to inquiries regarding commission payouts, deductions, commission schedules and commission calculations. Update ledger system for earnest money deposits in compliance with state escrow law. Additional duties as required by business need.

From new agent orientation to seasoned agent one on one classes, my team focuses on making sure our agents are knowledgeable and confident in their Real Estate Careers. Answer incoming phone calls, distribute mail, light cleaning, and other standard office duties.Obtain all documents required to publish a listing into the MLS, HERO, Trident, and Homebase Database. Obtain all documents for sales and rentals entering a “pending” or “active with contract” status. Email, fax, or call the assigned Title Company with Closing Instructions, Same Day Pay Information, etc. Obtain all documents when a sale closes. Enter all information into the Databases, as well as calculate and ensure the commissions payable to Agents and Coldwell Banker are correct and close the file efficiently.Maintain all Agent fees acquired every month.Do monthly AP/AR duties.Order supplies necessary to maintain order and stability within the office.

Earning the recognition of Champion Circle lead me into a promotion within Coldwell Banker as a Licensing Coordinator.My duties are as follows:Maintain the DBPR log of licenses for the state of Florida. Run weekly DBPR Candidate lists and transfer reports in excel format. Log into CBIntouch daily to ensure new agents are marked correctly to gain access to their leads.Running month end license expiration reports.Maintaining all relations regarding new and existing agents within Coldwell Banker in the state of Florida. Maintaining all relations regarding new and existing agents within Coldwell Banker who are listed as Zip Agents. Training Branch Managers and OAs on the new Agent Affiliation Process, and keeping contact with those who currently utilize the system. I am available to help answer questions and do what I can.Coldwell Banker is successful when the Agents are successful. I work hard to make sure their licensing details are all taken care of, and their transitions within or out are as smooth as possible.

Office Administrator at the St. Petersburg Northeast Coldwell Banker location.Teamwork is the name of the game in my office. The Listing Coordinator and I work together each day to operate the office in a fluid manner. We open and close the location every morning, and communicate throughout the day to ensure the office runs smoothly. When an Agent has a contract, I work flawlessly to create a paperless file within our system. Then, I contact the Title Company to ensure they know the right commission structure from the beginning. As things may change, I stay in contact with the Title Company as to not cause any "hiccups" before or during the closing. If Coldwell is holding the escrow, an Escrow Verification Letter is sent out to the Listing Agent within 2 days of receiving the deposit. As the contract moves along, communication is upheld with the Agent and the file kept up to date. Prior to the closing, I calculate the Agent's commission and send a Disbursement Authorization to the Title Company so the Agent can receive their pay at the table. Along with the disbursement, if Coldwell is holding the escrow, I will either wire the money or send for a check in a timely period to ensure a smooth closing. Along with contracts and closings, I pull monthly reports for the office to keep an eye on production. I look at the amount of contracts written and closings that were finalized. Once I gather the data, I work with the Listing Coordinator and the Office Administrator at the Downtown Office to create a monthly report of the Top Producers of the Month. The Agents are all sent the report, and it is hung on the Managing Broker's door for all to see. The Managing Broker and myself work closely together to train the Agents new and old, and make sure our team understands we are always available to answer questions and help them be successful. My office strongly believes that WE are successful when the Agents are successful!
