- Monitors the work order list on the Computer Aided Facilities Management (CAFM) system ensuring that Work Orders are batched into skill and location groups to ensure the most effective and efficient service delivery that helps achieve the KPI priorities and SLA timelines set against each job is attained. - Providing an acceptable level of feedback to the operations team on rectification actions taken or any problems/issues as they encounter which could be useful in future fault rectification. - Review on a regular basis Work Orders those have been suspended and ensures that the reason for their suspension is identified in the relevant section of the Work Order record on CAFM. - Monitor and progress (via third parties in some cases) the actions on suspended Work Orders to successful completion. - Co-ordinates the transfer of Work Orders between skills sets and shifts to effective completion within KPIs and SLAs. - Monitors PPM workloads and issue to ensure that they are completed on a priority basis, with priority 1 (statutory) being highest, ensuring that if all priority 1 PPM is not completed by due dates that the Facilities Managers and Engineers is made aware. - Monitors the PPM workloads to ensure that any non-priority 1 work which is missed during the month is identified to the operation team and management. - Informs Clients of schedule PPM works, which could be disruptive to their service delivery. - Ensures that Work Orders are raised to cover any remedial actions identified on PPM work, both in-house and contractor. - The relevant maintenance plans are applied to assets as defined by the FM. - Assists the FM in identifying assets which could be under or over- maintained on planned maintenance by analyzing reactive call data.

- Provide the Supervision and Management with up-to-date reports on request, showing the status of various workloads of different types and categories. - Assist in providing accurate costing of labor hours/materials required where directed, for new/additional work as approved by the FM. - Assist the Financial Administrator in producing purchase orders for various works. - Provide Spare part form with details and Quotation for the spare part for FM approval to add SP part code in CAFM. - Providing the monthly Accrued Income for the spare part from the CAFM. - Act as the key focal point for all CAFM-related activities and develop processes and procedures to ensure robust documented systems are in place with both internal and external users/providers. - Prepare and Schedule Asset based on Planned Preventive, Reactive & Corrective Maintenance Orders - To act as the central conduit between the helpdesk function and the facilities team to provide an efficient and timely response to any reported issues. - Produce daily reports of job allocation for planning for the FM team and weekly/ monthly reports to management for review. - Provide training to all CAFM users (Management, engineers, and users). - Ensure effective maintenance management planning, scheduling, and execution of planned preventive maintenance and unscheduled or reactive service requests. - All Supplier lists are kept up to date on the CAFM Systems. - All Staff resource lists are kept up to date on the CAFM Systems. - Be a key member of a CAFM Systems user group to discuss current systems issues and seek input from users regarding ongoing development of the system, playing a pro-active role in the development of the system as required. - Liaises with the companies’ CAFM support on various hardware and software related issues, including upgrades and back up’s. - Liaises with the Helpdesk to ensure that the correct level of accurate information is recorded on CAFM
