Executive Support Specialist | Pharmacy Enterprise Division
Current• Manage daily office operations and procedures including extensive calendar management, internal and external, with proactive planning and scheduling for Executive Vice President, Senior Vice President, 2 Vice Presidents, 4 Directors, 4 Managers and 2 Supervisors• Maintain and monitor the management’s calendars of upcoming meetings, projects, deadlines and critical events• Coordinate executive communications, including telephone triage, first-line responsibility for resolution or referral of issues, scheduling calls, managing confidential correspondence, responding to emails and interfacing with customers in a timely manner• Coordinate travel and arrangements including registration, flight, hotel and transportation• Reconcile coding and processing of invoices for prompt payment; resolve any outstanding invoice matters; manage and reconcile monthly corporate credit card expenses by entering budget coding, attaching receipts and including detailed explanations • Record, transcribe and distribute minutes for board, committee and staff meetings• Support recruitment efforts, including interview scheduling, coordination and onboarding to ensure employee has all necessary tools and equipment necessary for job• Ensure systematic record retention schedules, archiving procedures and confidential document disposal of records are adhered to following corporate retention policy• Develop and implement new solutions that enhance the efficiencies as they relate to administrative matters• Facilitate multiple competing priorities which reduces the amount of time spent on tasks by researching and developing process improvement initiatives• Manage administrative processes for the coordination of programs and special projects that are significant to business operations for support of fluid communication and quality control • Complete all supporting tasks necessary for recurring status reports so all recipients receive the information in an accurate and timely manner
