Current• Serve as the Board Secretary for monthly Board meetings.• Schedule Board meetings, create agendas, minutes, and Board Books, maintain weekly correspondence with Board and Executive members, call roll for the Committees and the Board as a whole, and set up the room to meet the different needs of each month’s meeting.• Order catering, and pay special attention to details of each Trustee's order to ensure satisfaction in their lunch• Anticipate the needs of Trustees and staff to… Show more • Serve as the Board Secretary for monthly Board meetings.• Schedule Board meetings, create agendas, minutes, and Board Books, maintain weekly correspondence with Board and Executive members, call roll for the Committees and the Board as a whole, and set up the room to meet the different needs of each month’s meeting.• Order catering, and pay special attention to details of each Trustee's order to ensure satisfaction in their lunch• Anticipate the needs of Trustees and staff to ensure successful meetings. • Handle all aspects of travel, from travel request forms to booking lodging, rental cars, flights, etc. for thirteen Board members and the Executive staff. I also process complex travel reimbursements while following state and agency guidelines. • Maintain calendars, plan appointments and events, schedule meetings, book rooms for those meetings, anticipate technological needs, room set up, and/or facilitate Zoom meetings for the executive division. • Compose professional correspondence to legislators on behalf of the executive department. Maintain educational records for the 13-member Board of Trustees. Maintain files, documents, and electronic correspondence in accordance with the state’s record retention policy. • Proofread policies and procedures and recommend edits and policy changes to promote a more efficient flow for the agency.• Serve on 8 internal activity committees to plan and coordinate different events to help maintain staff morale.
