Workplace Specialist/Office Manager
Current•Manage and distribute incoming US Mail, FedEx, and UPS shipments to ensure timely delivery to employees• Maintain and replenish kitchen and office supplies, including snacks, coffee, printer materials, and stationery, to support a productive work environment•Coordinate with HR to execute a seamless candidate experience including interview scheduling, desk arrangement, and onboarding logistics•Greet candidates at the office and provide comprehensive support throughout the entire interview process, ensuring a seamless and positive candidate experience•Partner with IT to ensure a seamless experience for new hires or employees through provisioning and deprovisioning •Collaborate with cross functional teams across U.S. and global offices streamlining tasks such as sales events, shipping, travel, and ordering•Effectively address and resolve employee concerns with speed and precision ensuring high levels of satisfaction through Slack, email, and in-person•Orchestrate and execute brand relaunch events, holiday celebrations, and farewell gatherings in a comprehensive and timely manner•Provide support to C-level and VP executives, managing calendar scheduling and expenses, as well as administrative tasks such as scanning, filing, and conference room setup•Administer a monthly budget of $15,000 for food and office supplies consistently meeting operational needs•Direct logistics of an office move from two suites into one including coordination of vendors, furniture layout, and seating arrangements, resulting in minimal disruption to operations•Maintain office intranet site updating employees on events, facility communications, and new hire information•Oversee daily lunch orders for employees, optimizing meal selections, accommodating dietary preferences, and ensuring prompt delivery 95% of the time•Improve and implement processes for new hire swag, meal program, and facility related programs
