AP and Payroll Specialist • Accurately review, code and process vendor invoices (data entry)• Review statements monthly and research and reconcile discrepancies• Manage and process weekly overhead bills• Prepare weekly vendor payments from schedule• Respond to vendor inquiries• Verify and process credit card statements• Provide ad hoc information as requested to support current work and special projects• Complete weekly payroll (for 200+ employees) which consists of entering all time for each employee, rate adjustments, expenses, printing checks, and creating and uploading files for direct deposit.• Proving weekly/quarterly payroll taxes and backup preparing/filing quarterly payroll taxes• Regularly compile EEO reports to be in compliance with the Boston Residents Job Policy.• Prepare Monthly CCIP Reports• Assist with Yearend Audit• Back up to prepare and pay benefits for union members• Back up preparation of month end financial statements and job cost/GL reconciliation reports• Back up to monthly bank reconciliations• Assist answering phones as neededQualifications:• Experience with Sage 300 Construction and Real Estate preferred but not required• Experience with Timberscan preferred but not required• 2-3 years’ experience in AP and Payroll• Proficient with Microsoft Office (Excel, Word, Outlook)• Strong time management and organizational skills• High degree of attention to detail• Ability to work independently and prioritize tasks
