I work in Radiation Oncology at HCA's Tristar Centennial Medical Center in Nashville, TN, where I am a staff assistant in a very fast paced department with a diverse set of responsibilities. I am responsible for maintaining a professional phone etiquette and filtering all calls received for the multiple areas of the department. Our office receives upwards of 60 referrals from outside offices a month which I am responsible for gathering records from multiple EMRs and outside facilities for, as well as scheduling the patients in accordance to multiple physicians' and treatment machines' schedules. During my time in this role, I have worked with leadership and one of our largest referring offices to streamline our referral process by utilizing a detailed spreadsheet, allowing us to keep track of the details of each patient's status in the process. This has resulted in a more efficient process for both offices, as well as increased communication between our department, the referring offices, and incoming patients. As the staff assistant at the front desk, I am responsible for communicating any patient issues, from scheduling to symptoms, throughout the department including physicians, nurses, leadership, therapists, as well as their referring physician's office. I frequently utilize Excel, Word, Outlook, OneDrive, Webex, Mobile Heartbeat, and multiple EMRs in this role. Additional experience in this role includes: gathering patient demographics to ensure accurate records in multiple systems, pursuing knowledge of the insurance verification process, communicating all mentioned processes to my partner at the front desk, creating a warm and comfortable environment for patients, checking in patients for appointments, sitting on panel-style interviews for new nursing candidates, and maintaining HIPAA and HITECH policies and procedures.
