Event execution duties - Oversee event execution for numerous large annual conferences, professional development trainings and community engagement events. Tasks include but are not limited to event registration and speaker management, venue research/selection, contract negotiation, logistics coordination (transportation, accommodations, catering, audiovisual, signage, security, photography, entertainment), and sponsorship sales and coordination.Events team management and oversight – manage team of 3 events staff members and additional events volunteers (utilized on an as-needed basis) to ensure the smooth execution of all CABHP events activities. Event committee leadership – continually meet with organizing event committees to establish goals and objectives, establish budgets, and report on event progress; serve as liaison between vendors and organization/community staff in arranging events. Website management and event marketing development and execution – create and distribute marketing materials including flyers and emails, execute postal mailings, emails, and phone calls soliciting event sponsorship; maintain events website.Event financial management – Establish event budgets and/or quotes, negotiate contracts to minimize attrition and other liabilities while maintaining the most favorable pricing; continually track costs and revenues to remain within or under budget; review invoices, expense allocations and processing of payments.

Event logistics execution and marketing tasks –book, plan, and execute all logistical tasks for 15-20 annual continuing education events and monthly webinars including pre-event planning and registration tracking, revenue collection, on-site coordination, and post-event budget reconciliation and statistics.Educational content development – research market needs of to determine appropriate continuing education content for occupational medicine physicians, nurses, industrial hygienists, safety and ergonomics professional in 4-state region, encompassing 1000+attendees per year.Marketing development and execution – manage contact database for continuing education trainees, develop and send promotional brochures and email promotions (in HTML), track and segment event marketing efforts, update online listings of course offerings.Continuing education application processing and documentation – execute application process for continuing medical education and continuing education nursing credits for all seminar sessions produced.Newsletter development – research relevant and timely topics, conduct interviews with University experts, write and/or edit blurbs/stories for monthly newsletters for WORKSAFE IOWA associates.

Plan and execute logistics for company-wide events schedule including hosted buyer networking events, national conferences, and webinars. Oversee each event from site selection through event completion, including contract negotiation, registration management, budget management, sponsorship management, and all on-site logistics.
