Administrative Section Supervisor
Current• Organize, supervise, and review the work of employees to ensure the Accounting section runs properly and efficiently. • Train employees on the policies and procedures of the Accounting section. Recommends specialized training for skills needed for this specific section. • Approve leave time, complete performance evaluations, disciplinary actions, and documentation of events in accordance with departmental and state policies and regulations.• Attends meetings on behalf of the Accounting section where the needs of the section are voiced. • Interpret and implement state accounting laws, travel regulations, and policies and procedures ensuring all payments are made accordingly.• Recommends changes to current policies, as well as new policies that apply to the Accounting Section.• Responsible for reconciling and issuing payments for all Personal Services Contracts (PSC).• Responsible for reconciling and issuing payment for Memorandum of Agreements (MOA).• Responsible for issuing payments for invoices in the statewide accounting system (eMARS) and determining which accounting templates and codes need to be used for various funds.• Responsible for reconciling and issuing payment for all procurement card purchases. • Collect and analyze data for various accounting reports using spreadsheets, eMARS, and Enterprise Business Intelligence (EBI). • Set up and modify vendor records in eMARS.• Review and approve/reject fellow employee’s payment documents in eMARS. • Prepare weekly cash and check deposits. • Responsible for accurate record keeping of all payments.• Pay travel vouchers, employee training registration, and memberships as a backup. • Work with the IT Branch and fellow Accounting section employees to maintain the travel voucher module of the agency’s Law Enforcement Training and Reporting System (LETRS). This includes recommending changes and reporting errors. • Backup procurement card administrator.
