Client Intake Success Coordinator
CurrentProject Management• Oversee and coordinate the smooth transition of new clients who retained the firm to the legal team• Carefully manage new client projects, accounts receivable, and implementation of policies and procedures• Experience with project management systems like Trello and ClickUp• Participate in weekly department meetings, and maintain KPIs, data, and metrics• A critical thinker who solves problems and assists in maintaining the operations of the Intake Department. Client Engagement & Customer Service• Answer incoming calls from potential new clients in need legal advice and representation, gather intake information, and make notes about client’s case for legal team• Convey confidence and show empathy to our new potential clients who contact the firm by phone, web form, or live chat• Ability to understand the sales process and how intake plays a vital role in the success of that process• Coordinate consultations between new clients and legal team • Processing new client intake paperwork in case management system• Draft and deliver new client retainer contracts• Follow up with potential new clients who have not yet retained the law firm • Maintain a tracking system to monitor leads, new clients, and referral sources • Created and implemented training on client intake policies and procedures to meet the firm’s customer service standards • Treat a call or meeting at 4:30 on a Friday (or the weekend) with the same care and compassion as one on a Monday morningCustomer Relationship Management (CRM)• Consulted with law firm’s administration on Salesforce best practices to meet the needs of the law firmAccount Receivable• Communicated to clients regarding overdue invoices to collect and arrange payments to bring all accounts current• Audited historical invoices to ensure accuracy after the transition to Salesforce.
