Primary focus in fire alarm, sprinkler & special hazard departments (both service & install) which includes but is not limited to completing AIA contract billing and other paperwork for general contractors, completing lien waivers, reviewing contracts, creating job folders, scheduling inspections of fire alarm, sprinkler, backflow & fire pump inspections and/or service as needed, typing proposals, quoting minor repairs, maintaining proposal logs for fire alarm & sprinkler managers and sales executive, maintaining a Work In Progress (WIP) on all current sprinkler and/or fire alarm install jobs (totaling job hours, inputting material costings, updating estimate vs. actual totals for profit data), change order paperwork, maintaining billing logs of current install workNotarizing any necessary paperwork as needed on a daily basis General office work including but not limited to creating new accounts & updating accounts per new contracts and customer requests; logging billing for year totals; taking credit card payments; making inquiries on past due invoices; accounts receivable assistance (providing invoices & additional paperwork, requesting invoice updates, generating dummy invoices if required by customer, purchase order updates, credit & rebill paperwork, etc.); general customer service; maintaining shop sprinkler inventory log & pricing material sheets; filing, payroll & human resources assistance; completing vendor & customer paperwork; permit and license renewals; handling certificate of insurance requests, meeting minutes, creating forms for various departments as required; compiling safety & SDS information and creating booklets as needed for customers, office & new employees; assisting with pulling uniforms for technicians; photographing employees for ID badges; ordering office supplies as needed; assisting with front desk and receptionist coverage as needed; training new office personnel in any necessary areas; field work as available

Engaging in creating eye-catching and informational graphic design to create items as requested by customers. Examples of items created include brochures and pamphlets, advertisements, documents, fill-in forms, booklets, invitations, entry forms, business cards, marketing supplies, letterheads, keychains, bookmarks, photo pieces, party games and more. Performing field secretary duties for general contractor during 'York Town Center' job in York, PA; maintaining subcontractor records and updates including certificates of insurance, job safety sheets, injury information, and more; accurately logging drawings by type, revision number and date; receiving RFI's (requests for information, such as coordination conflicts, requests to change specification requirements, etc.) from subcontractors and submitting each request to architects for review, sending responses from architect to appropriate subcontractors; meeting minutes; answering phone calls; typing weekly updates; scheduling pick-ups for visiting office personnel; etc.
