These include the coordination of entire event from initial inquiry, contract creation, deposit collection, event coordination, billing and post-event evaluation• Establish and maintain relationships with off - site vendors such as caterers, av equipment, and party supply outlets. Negotiate deal packages with other local vendors to boost visibility and business. • Utilize comprehensive knowledge of hotel program systems such as Opera and Delphi to import rooming lists, event details, create group resumes, organize group blocks, and collect payments on time• Respond to RFP’s utilizing portals such as Event Connect, Meeting Broker, CVent, and Hotel Planner. Coordinate group blocks according to RFP and offer competitive rates to increase number of bookings• Maintain solid communication and understanding with front of house, back of house, housekeeping, and maintenance so that each event and group block operate smoothly. Provide BEO’s and diagrams to other in house departments for any floor plan, set up, and special request needs• Participate in client site tours, help plan menus, lead event details meetings with staff, creating floor plans, managing vendor lists and essential venue documents, manage client cost estimates, and participate in networking events.
