Administrative Assistant
Current• Provide full executive support to Vice President consisting of daily calendar management, travel coordination with expense reimbursement and budget oversight.• Provide weekly team meeting support consisting of agenda development, presentation coordination and creation of meeting minutes for distribution to stakeholders.• Deliver comprehensive event coordination of departmental off-sites including management of all venue logistics, contract execution and associated budget oversight.• Coordinate and schedule national/international travel arrangements and various logistics for team, followed by expense reconciliation thru Concur.• Facilitate negotiation and execution of both agency contracts and HCP consulting agreements, along with creation of respective purchase orders. Coordinated contract amendments, with purchase order extensions, in support of additional work performed and supplemental funding.• Track and process invoices through workflow, reconcile discrepancies and monitor spend/accruals.• Compose and distribute departmental newsletter communications while updating the master distribution list as warranted.
