Plan and execute events for Microsoft internal and external audiences of 20 – 300 people, focusing primarily on C-level summits, conferences and councils.• Overall Program Management: Contract negotiations, venue and vendor management, marketing collateral development, registration reporting to venues, vendor and staffing management, speaker management, budget development and facilitation, contract negotiations, audio/visual production, and food and beverage coordination.• Contract Facilitation: Review and negotiate hotel and venue contracts to protect both client and company while obtaining the best possible pricing and concessions.• Vendor Management: Source and lead vendor teams of up to 30 vendors in one program, manage the process of RFP requests, negotiating, and contracting. • Budget Management: Responsible for all event costs and meeting event budget goals. Create, manage, reconcile and forecast spend for overall budget using Microsoft’s internal tools, open, extend, and close POs and use Informa to reconcile costs to budget.• Ancillary Program Execution: Research and recommend ancillary venues for welcome receptions, opening dinners, spouse programs and activities, manage entertainment, food and beverage, and transportation needs.• Collateral Management: Work with graphic designer and copy editor on printed materials, including design process, content review and editing, ordering, tracking and distribution of all collateral pieces.• Event Documentation: Create, manage and distribute all event documentation, including budgets, agendas, work back schedules, onsite roles and responsibilities, floorplans, and post-show reports.• Client Communication: Responsible for setting up and managing all team meetings related to event, understand and adapt to communication and work styles to meet different client needs. • On-Site execution: Thorough knowledge of onsite expectations, including management of vendors and timelines.
