Current• Maintain confidential records using Chart Tracker, Chart Administrator, and Axium to retrieve files, locate missing records, and file new and updated information• Obtain information about concerns and complaints from patients and/or representatives of patients relating to clinical care or customer service on behalf of the Patient Care Coordinators office.• Respond to patient questions about disposition of their dental care.• Review patient records and determine releasable information• Explain School policies and provide information regarding services to patients and/ or patients' representatives.• Entering notes into patient accounts documenting phone calls, updates to ongoing concerns, complaint resolutions, and mailings regarding the patient. • Respond to patient inquires about care options at the School and based on information during those calls give them contact numbers or transfer the call to the proper clinical area. Triage patient telephone calls, obtain necessary information in order to initiate urgent care, direct patients to appropriate clinic, investigate treatment options and follow-up with patient if needed.• Disseminate and collect administrative agreements to dental students.• Respond to patient requests for assignment/appointments and either provide them with the name and contact number for their assigned student, refer them to the appropriate clinic, or forward a request to the Patient Care Coordinator’s office for student assignment. • Route, retrieve, and deliver charts to requesting departments and students• Track records in student boxes using manual chart log system• Mail, fax, e-mail release forms to patients and outside offices, process those records/radiographs requests, and enter the information into Excel spreadsheet and Axium• Inactivate, purge, file, and organize charts• Scan x-rays into MiPACS• HIPPA & BBP trained• Familiar with dental/medical terminology.• Familiar with Risk Master and Quality Assurance reporting.
