Assisting Purchasing Manager: Oversees and process all SSD acquisition of materials needed for production, general supplies for offices and facilities or equipment. Prepares/reviews POs. Performs a variety of research, analyzes, identifies issues, and evaluates information and documentation from a wide variety of sources. Reviews all purchase orders for more documentations if needed. Prepares purchase orders or assists other sections within SFMTA. Reviews and analyzes SSD vehicle purchasing. Assists managers with transferring funds, journal entries, reviews grants funds and gathers required documents. Ensures compliance with established departmental policies, procedures and goals, as well as legal requirements and regulatory mandates. Performs or assists in budgeting, fiscal reporting, monitoring revenues and/or expenditures. Seeks reliable vendors or suppliers to provide quality goods at reasonable prices, negotiating prices and ensuring PO requests are being submitted correctly. Assist/provides vendors on how to be compliant with the City & County of San Francisco. Works closely with the Tax Collectors and Contract Monitoring Division to resolve vendor compliance issues. Collects checks, cash, calculates and processes applicable charges, fees and taxes, etc. Invoices: Reviews and ensures all invoices and packing slips are accurate. Work with vendor to resolve disputes with any invoices. Travel or Training: Assists/guides SSD employees with travel or training requests; eg. on how to complete the traveling or training forms, guide them on what documentation is needed for reimbursements. Assist SSD employees with their Local 21 and 1021 Reimbursements. Accounting/Finance/Material Management/Purchasers Division: Assists any unresolved PO Requests or invoices within SSD. Assist Finance with budgets by finding and ensuring that all invoices can be resolved. Assist Finance with FAMIS at times when needed and process SSD employees FAMIS docs.
