    As a Management Assistant (Executive Assistant), I support the Principal Architect and Bureau Manager for the Bureau of Architecture (BOA), which oversees a team of about 68 architectural staff. The BOA is responsible for the design and project delivery of a wide range of capital projects, managing hundreds of projects annually, from small interior remodels to major stand-alone building constructions.In my role, I manage various aspects of project reporting and related duties. I handle expense reports, assist with the onboarding of new staff, and manage the printing of reports. I also update project schedules and provide writing support for proposals and MOUs. As the "right hand" to the Bureau Manager, I assist with the maintenance of the BOA SharePoint site and its content, ensuring everything stays organized and up to date.I work closely with the Bureau Manager and I help update internal procedures and standards, such as MOU templates, lessons learned, budget templates, meeting minute formats, and PowerPoint presentation standards. I also conduct research on leading professional practices at the request of the Bureau Manager.In addition, I attend executive-level meetings, take minutes, and follow through on action items. I assist with the recruitment process, helping to write job descriptions and advertisements. I format project checklists in Microsoft Word and Excel for Architecture, Interior Design, and Construction Administration. Lastly, I manage the Bureau Manager’s schedule, coordinating appointments, confirming, and prioritizing meetings as needed.
