The Program Administrator is primarily responsible for the administration of various annual journalism prizes including the solicitation of entries, the judging of the prizes, and the coordination of public events, ceremonies and panels. Creates and writes various communications around the purpose of awards, and the entry procedures, to professional journalists, students and the general public through mailings, advertisements, email and social media. Organizes and processes financial transactions for the department.This position is contingent on satisfactory performance and the continuation of funding.Arranges virtual and in person special events: awards ceremonies, jury meetings & other logistics for the prize jurors, the University President and administration, the Journalism Dean's office and winning news organizations and journalists.Communicates regularly, providing detailed information to senior leadership both within and outside of the University, on these events and ceremonies.Organizes and processes routine financial transactions relating to prizes' budgets, meetings and special events including paying honoraria, and processing travel expenses and other bills relating to prizes' ceremonies. Creates and provides reports analyzing these expenditures, and presents these statistics to senior leadership.Creates various graphic designs for communications, invitations, brochures, advertising and notices related to the awards and prizes. Ensures that effective promotion of prizes occurs through social media.Collaborates with other team members on the creation of website postings about the prizes. Plans and conducts related activities such as podcasts, workshops and panels based on the winners.Updates web pages in foreign languages. Maintains communication with Spanish Page language prize applicants and winners. Coordinates writing of awards-related content in Spanish. Portuguese language skills are helpful.
