Production Accountant - Costume Department

Current

San Francisco, California, United States

As the Production Accountant for San Francisco Opera's (SFO) Costume Department, I oversee all financial functions for the Costume Shop, Wardrobe, and Wig & Make-Up Departments. This includes processing payroll for up to 100 seasonal non-union and union employees across the three departments, submitting all accounts payable invoices for payment in accordance with SFO's finance department's protocols, and reconciling hundreds of credit card transactions each month.Additionally, I maintain accurate financial records for the Costume Department in Adaptive, both reconciling actuals and submitting budget and forecast numbers through that software, processing journal voucher requests as needed.I also collaborate with the heads of the Costume Shop, Wardrobe, and Wig & Make-Up departments, providing weekly expense reports and working closely with them on the generation of fiscal year budget and forecast calculations.Lastly, in compliance with SFO's general finance policies, I have created SOPs for the department's Credit Card Reconciliation and Account Payable procedures. I look forward to generating more SOPs for the departments financial functions, including but not limited to: Payroll Processing, Petty Cash Reconciliation, and Budget & Forecast Management.

Conservatory Manager

San Francisco, Ca

As Conservatory Manager, I managed operations for A.C.T.'s actor training programs. These programs encompassed the Master of Fine Arts (MFA) in Acting, Summer Training Congress (STC), San Francisco Semester (SFS), Studio A.C.T., Young Conservatory and Professional Development Training. In my time at A.C.T. I worked with multiple departments where the actor training programs intersect with the theater's other programming. This included coordinating with the education department for the Citizen Artistry curriculum in the MFA and SFS programs and the annual Will on Wheels Tour, and communicating with the Operations and Facilities departments to ensure all physical plant needs for the programs were met. A large component of this role was overseeing the budget and forecasts for all conservatory programs. This included budgets for the six (6) actor training programs as well as the Melissa Y. Smith Library and general budgetary needs for the department as a whole. This work included working closely with the Finance department to ensure proper reporting to G5 for the Federal Work Study and HEERF grants for the MFA program. Additionally, I worked with my team to celebrate and maintain relationships with alumni from these three programs. We also engaged with alumni through our recruitment program, seeing the effectiveness of our recruitment efforts for these programs grow. In the 2019-2020 academic year we saw a spike in sending our recruiters out to schools and festivals to teach workshops and speak about our programs. Even through the pandemic we were able to connect with potential students through offering virtual workshops at most KCACTF regional festivals two years in a row, as well as with individual schools interested in our actor training.

Administrative Manager

San Francisco Bay Area

My role as Office Administrator at San Francisco Playhouse grew and expanded within the first year of my employment with them as I filled the Administrative Manager position. In this role I not only carried on many of the tasks I tended to as Office Administrator, but also served in a key leadership position that expanded beyond administration into general management, operations and facilities management, human resources, and union relations and negotiations. As our people power at San Francisco Playhouse grew exponentially in a short period of time, one of my primary functions fell into Human Resources. I successfully facilitated a transfer in payroll systems. I also developed and communicated changes in employee policy and procedures. Additionally, I was the first point of contact for prospective employees, interns, and administrative volunteers. I also led my team in improving communications and standards for our volunteer usher program.Additionally, I maintained many of my office management and facilities coordination functions. This entailed keeping all legal documents up to date, as well as space and event scheduling. I also managed all facility rentals for our theater and studio spaces.

Nov 2013 - Feb 2019

Office Administrator

San Francisco Bay Area

As Office Administrator I consistently made improvements to general office organization, maintenance and set-up, which also included improving IT procedures and equipment. Additionally I assisted in the scheduling process for all employees and interns across departments. Noticing the inefficiency in the existing scheduling system, I sought out and implemented a new and improved system that has proved extremely user-friendly for all interns, employees, supervisors and managers. On top of processing payroll and payroll taxes for all hourly employees across departments (including creative and production), I implemented an organized personnel filing system arranged by Employee Type. I also assisted in recruiting and orienting new employees as needed, and new interns on a regular basis.

Mar 2013 - Nov 2013

Office Manager

San Francisco Bay Area

I was promoted to Office Manager at a crucial turning point in Natural Health International's growth as a company. My role as Office Manager at Natural Health International encompassed 3 main areas: Office Management, Inside Sales, and Bookkeeping. As Office Manager I served as the main point of contact for all outside managers as well as our growing in-house team which doubled in size over the course of one year. I effectively communicated decisions and changes in procedures from top-management to office staff, as well as providing said office team with the Employee Training and Tools necessary to perform well. On top of this Group Management, I implemented an organized Accounts Receivable filing system, managed all direct team member and alias e-mail addresses through Google Cloud Technology, improved general office procedures by establishing effective SOPs and checklists, as well as serving as the main vendor contact and liaison for all office supply purchases and shipping services. As a part of Inside Sales I provided customer service and sales support for 1000 Retail Accounts, 300 Health Professional Accounts and thousands of Direct Consumers. Overall, through my strong work at NHI over 3 years, I actively supported the company in increasing its annual sales from $800K to over $2M.

Customer Service & Sales Associate

San Francisco Bay Area

I hopped on board at start-up Natural Health International shortly after the company expanded its already top-notch line of natural health products, leading to a massive increase in the customer base it served. As the Customer Service & Sales Associate, I not only offered regular, top-notch customer service via telephone and order processing, I also provided strong Marketing assistance to the National Sales Manager. We worked together closely to maintain SOPs on all Marketing Packets and the execution of special trade show freight shipments. I excelled in my role as the Customer Service & Sales Associate, leading to my promotion within the company to Office Manager.

Shelter Administrator

San Francisco Bay Area

I was hired into the Shelter Administrator position to serve as the public face of the Bay Area House Rabbit Society chapter to the local community. It was my responsibility to create a positive atmosphere at the shelter, conducive to increasing effective volunteer involvement and increased rabbit adoptions. Through effective Volunteer Management I was able to increase both the retention of active volunteers as well as recruitment of new volunteers. It was in this action that I first realized my intuitive skill as a People Manager.I also served as the recording secretary for monthly Shelter Committees and took on a strong Leadership role within the organization. A key example of this would be my role coordinating volunteer assistance for the House Rabbit Society's 20th Anniversary Gala.

May 2007 - Nov 2008

Front Office Assistant

San Francisco Bay Area

At West County Optometry I cut my teeth in basic administrative work, learning that I excel at basic office organization tasks.More importantly though, I was able to actively increase patient traffic through the clinic due to effective, communicative patient recalling. So effective was I in this role that I was asked to create a detailed instruction manual for other recall staff to follow.
