    As a Meeting Planner in MedStar Health’s Department of Continuing Professional Education, I assisted with the planning and management of 40 conferences and events annually, ranging in size from one day conferences with 100 attendees to multi-day conferences attended by over 700 medical practitioners.     I was responsible for the logistics (AV, food and beverage, room sets, etc.) for over 100 meetings and events annually. This included coordinating all logistics for the ASTHO Annual Meeting including room sets, AV, F&B, securing vendors for a social event/gala, and space assignments for 15 different sessions over 4 days. I ensured all food & beverage orders adhered to ASTHO Healthy Foods Policy and funder requirements. To ensure the successful execution of all events/meetings I reviewed and approved catering/banquet orders, created and revised room layouts, negotiated and reviewed all AV requirements and procured additional vendors as needed. After a meeting, I review all final invoices for accuracy and assisted in processing payment to hotels/vendors.In my day to day duties I was the liaison between program staff and hotel staff/vendors. I held logistical check in meetings throughout the planning process with program staff to collect requirements and provide updates from vendors. At the conclusion of each event/meeting, I lead lessons learned follow up meetings with all staff involved in the meeting. To assist staff with budget tracking, I developed cost tracking tools that provided budget tracking and cost comparisons for each event. I also provided onsite logistical support and management for large conferences and meetings as requested.In addition to logistics, I coordinated room blocks with hotel contacts ensuring the accuracy of names and billing coding on rooming lists. For larger meetings/events I performed site visits/checks of venues/hotels.
