As Office Coordinator, I'm responsible for providing high level administrative assistance to the Office Manager in their day to day activities, firm wide strategies and key initiatives.My key responsibilities include:- Extensive diary management.- Meeting organisation including team meetings, employee development meetings and external project meetings.- Coordination of the monthly Innovation meetings including compiling the meeting documents and recording detailed meeting minutes.- Providing administrative and project related assistance to the Managers who report to the CEO.- Management of the office juniors as Receptionist, holding daily morning meetings to discuss their responsibilities for the day.- Assistance with COVID related protocols ensuring the office is compliant at all times.- Daily reporting- Event planning and assisting the management of the annual staff Christmas party (150 pax banquet style).- Assistance with the HR on boarding process including, desk set up, ergonomic check, arranging security passes.- Email and file organisation. - Expense reconciliations.- Drafting communications on behalf of the Office Manager.- Word processing and formatting including letters, contracts, firm policies and presentations.- Secretary of the firm's Innovation Committee and member of the Corporate Social Responsibility Committee, WHS Committee and Social Committee (which is responsible for organising the monthly firm wide events).- Privy to highly confidential information.
