About Conrad Ruiz

Hello, I'm Conrad, CEO of Well Aware. Growing up in South Florida in a family where my father was a gynecologist and my mother an opera singer, I was surrounded by a blend of science and art from an early age. I had a personal health revelation at 17— a rare kidney condition—which redirected my aspirations towards biomedical engineering. At first, I was driven by a personal deadline to achieve success, and above all, make my old man proud.My path to launching Well Aware was paved from an intense dedication to biomedical innovation, marked by a race against my very own health concerns. This journey, however, taught me more about the importance of pacing and reevaluation after facing burnout. Known for my ability to be resourceful and supportive, I bring a level of patience and thoughtfulness to my role, shaped by my own experiences with time's pressure.In founding Well Aware, I've channeled these values into our mission, aiming to create a space where urgency does not overshadow well-being. FOSAA is a private, distinct and separate organization from the St. Augustine Amphitheatre and St. Johns County. FOSAA is a Florida not-for-profit 501(c) 3 tax exempt organization created in 2009.The Friends of St. Augustine Amphitheatre was introduced to me by a client who was aware that the non-profit needed help with its operations around various information technology tools.Following discovery, I was asked to:- Update their existing WordPress Website with relevant text copy.- Redesign their existing ticket presales workflow to be performed with greater efficiency & transparency.- Support FOSAA with general IT needs on an ongoing basis.So far:- My team and I not only initially updated their site; we drastically improved it through our WordPress Website Designer referral partner, U.S. Digital Designs.- My team and I took over the existing ticket presales workflow, moving it over to MailChimp, clocking in at 5 minutes average turnaround time per presale email notice go-live.- I have successfully helped the FOSAA board adopt and use official fosaa.org email addresses, along with better password security management via BitWarden.Thank you FOSAA for your time and faith in us.     In addition to my initial scope of time and operations management consulting with Pierce & Company, it was identified that the company's sales operation lacked a transparency-enabling sales pipeline management standard operating procedure. This led to difficulties with keeping track of any given prospects' status toward becoming a client (or being adequately disqualified) without over-requiring precious time meeting and messaging back-and-forth. I:-Documented a complete sales pipeline workflow with clear sub-task operations accounting for each stage, including considerations for follow-up, graceful closure upon disqualification, and documentation entry requirements for each stage-critical prospect & sales representative action.- Introduced and implemented a sales assistant to take on all sales steps un-requiring of a more costly sales representative. Said sales assistant saved an average of less than 1 hour per week sending outreach messages, follow ups, and their respective documentation entry work for transparent reporting.- Alongside principal owner Mary Pierce, we also used the now-documented sales pipeline workflow to effectively systemize the entire sales pipeline within Canopy Tax, a management platform for accounting firms. This systemization further saved costs through automation-enablements of the pipeline steps.Overall, the Pierce & Co. sales pipeline operating costs were reduced from approximately $2,000 per month, down to an average of less than $1000 per month. Alongside this, the pipeline itself is now clearly documented across each operational step to ensure accountability, transparency, & responsive troubleshooting.

    I was referred to Pierce & Company by my previous accounting firm client with a goal to help shed light on company operations, and help the principal owner, Mary Pierce, buy back her time. I:- Provided time management workflow training designed to implement a new daily Start-of-Day & End-of-Day reporting task. This operation effectively brought much desired transparency, increased efficiency with communication toward problem-solving, & overall reduced time, stress, and confusion.- Introduced a bookkeeping-trained administrative assistant who took responsibility with handling a number of low-level tasks that were otherwise attended to by Mary and her staff. Said assistant saves an average of 3.5 hours per week at a cost of just $15 per hour. -Advised on the need for clear documentation and cost reduction of Pierce & Co.'s sales pipeline. Core Growth Strategies also provides bookkeeping and accounting services - potential clients can meet with members of the CGS team in order to explore a variety of plans that may suit their needs.I was initially brought onto support CGS with two projects:1. help the CGS team learn and adopt Asana as their task management system for all on-the-business projects. 2. help unblock CGS's implementation of sales proposal management software.---Over the course of 3 months, I:- Provided trainings on Asana, as well as on managing inboxes across each CGS team member's workspace design.- Consulted with each CGS team member who would be using Asana, effectively guiding and co-documenting projects and tasks that were in need of being entered into Asana for further communication and transparency.- Established conventions for using Asana with the CGS team, in efforts to standardize documentation expectations of each task and project.---For the sales proposal management software project, initial discovery led me to understand that the CGS team had unresolved difficulties with onboarding the particular software they decided on using. Essentially, more tasks than initially expected to integrate with this software were found, which led to a lot of frustration.From this point of awareness, I:- Researched the market for alternative tools (5 were explored, but none fit the needs for CGS)- Analyzed task blocks to successful onboarding through communication with both CGS and the software customer service team, and;- Performed said tasks in order to allow CGS to successfully continue and ultimately complete their implementation of the software into their workflow!---I've remained a part of CGS through additional projects which I talk more about on Well Aware's website.     I was referred to Eupry as a time management consultant, and in kind learned that I could be of most help to the CEO by providing him with my knowledge and skills around designing an information management system for his keeping track of all meeting notes, relationships, action items, goals, and knowledge records.Adam Hartmann was effectively provided with a custom-built Notion database that was templated on the Well Aware TRACK system design. This database was integrated through a 3rd party API to automatically create Time records based on each event that Adam had added to his calendar. Relationship records were also auto-generated and associated to each meeting event based on those invited to a given calendar block.In combination with consulting around executive calendar management practices, and a touch of virtual assistance, Adam now possessed a complete record system of his work events (personal events as well were administrated on a personal calendar and cross-synced anonymously to his work calendar for privacy).---Our engagement has left Adam with the very same Notion database system with the included automation. With integrations made particularly for hotels' internal PBX information management systems, F3TCH allows for both data security, and the opportunity to quickly connect hotel guests with various amenities and other services.Well Aware was brought on by F3TCH to go about implementing the operations behind its go-to-market campaign. After initial discovery, we also concluded to help F3TCH sustain administrative awareness and support of its commitments to fundraising & product development as well as market traction.Our operation surrounding go-to-market ultimately took on the following major tactical efforts:- Lead Research & Generation (Phone, Email, LinkedIn)- Cold Calling & Cold Emailing- Executive AssistanceMinor tactical efforts included:- Video content creation & posting- Investor research + outreach & investor landing page content creation- TRACK (Time, Relationships, Actions, Commitments, Knowledge) management dashboardWithin 3 months, Well Aware was able to call over 400 customer leads. We created a 5-piece email sequence that followed each lead. All calls, emails, and other research data were stored and executed within HubSpot. Alas, our efforts were unable to generate effective traction.
