Office Assistant
Current• Screens calls, relay messages, provides information and assistance to parents, Board officials, District staff, agencies and the public by telephone or in person • Compose and type a variety of materials such as correspondence, memo, reports, forms, emails, booklets, examinations and lists • Provides record management support which may include collecting and inputting and compiling data, and data management of student/staff electronic and hard copy records • Inputs information from a variety of source documents utilizing various computer programs including student information databases and spreadsheets • Collects, sorts and distributes incoming and outgoing mail, voicemails, faxes and emails • Collects monies and issue receipts• Contact other District staff members, organizations or the public to request information or materials • Receive and direct people coming to the office or school • Prepares agendas; records and transcribes meeting minutes • Orders, sorts, restock and take inventory of office supplies and/or resource materials • Schedule and make arrangements for activities such as graduation, meetings, workshops and field trips • Receives and ensures the accuracy and condition of incoming orders • Provide assistance to students and advise parents of injury or illness; perform assigned duties during fire/earthquake drills and other crisis situations
