Business Operations Coordinator
CurrentI am involved in one or more various responsibilities related to BizOps, including engagement letters and assisting with client deliverables, such as technology setup, if needed. Assist pre-engagement duties for principal and leaders and coordinating CRM tracking for business development. Provide general internal and external support for Outsourcing teams, and their clients, for multiple office locations. Client Documents: Draft engagement letters, creating 1099s or other reporting forms as needed, draft and deliver client invoices and other client deliverables as needed.Front Office Admin: Answer phones, as needed (coordinate with other offices). Manage front desk hosting for clients and guests. Manage parking needs for guests.Coordinate all mailing including UPS and certified and add charges to STAR by client.Coordinate office maintenance and maintain production room including all supplies &copier needs. Conference Room Management: Coordinate all food orders, and clean up thereafter.Assist with booking additional space as needed. Coordinate Learning and Development needs with Impact/People Coordinator. Peak Season Assistance: Support Tax Processing Coordinator and tax services team. Assist with stuffing and mailing tax organizers, scanning, assembly and delivery asneeded.Engagement Team Assistance: Attend to various tasks for engagement teams through atask management system in Outlook, including, but not limited to: research for venuesfor events, dinners, etc. and ad hoc needs of the teams.Assist with entering contact information into the CRMand have other accountabilities across other internal operations roles.Client Set up such as new client set up, engagement rolling, billing, invoices and statements, client WIP and A/R questions, time and expense monitoring. IT Site Contact: Assist IT staff with imaging PCs, preparing computer equipment for newhires, ongoing equipment orders for the office, and scheduling repairs as needed.
