Relieves executives in administrative, logistical and operational activities of the organization. Acts as a point of contact between the CEO and COO and key executives. Coordinate workflow, update and chase delegated tasks to ensure progress and deadlines. Take initiative in executives’ absence, keep projects on schedule, and maintain procedures to ensure consistent performances of routines. Maintain and create methods for handling work, constant audit of the company processes, willingness to take charge and make decisions for the efficiency and budgeting. Review procedures, recommend action to improve, research, present comparisons and provide resolutions. Manages calendar, schedules meetings, events and interviews for executives. Prepare correspondence, emails and memos, presentations including research, gathering of materials, collating and preparing materials. Prepares meeting minutes/notes. Maintains and updates contact list. Coordinate travel arrangements and expenses for all staff.Oversee duties of the Director of First Impressions and front office management; receiving and directing visitors, maintain supplies orders, staff needs, conference rooms, mail room, shipping, vendors, security and personnel requests. Handle all office communication with building management. Independently operate the department of Human Resources as Director (2017-2019) concurrently with the duties of executive assistant and office manager by managing all aspects of Employee needs and consultations, Payroll adjustments and submission, Benefits open enrollment and brokers/carriers relationships, Recruitment and Staffing requirements, Hiring/Separations of personnel, Governmental filing, Compliance monitoring and auditing of 401k plan. Maintain relationships with TPA as needed. Successfully transitioned new implementation of system migrations for benefits, payroll, COBRA, ACA and FSA simultaneously.
