Facilities & Services: Submit RFPs to locate venues for bi-annual Canadian, US as well as Caribbean Meetings. Schedule and conduct hotel and off-site event inspections, submit results of inspection evaluation to upper management, and make recommendation in selection of venue. Contract facilities to include hotel and off-site social venue. Serve as main point of contact for all event coordination while managing 25+ ARIN staff members and up to 10 outsourced support staff. Logistic Support: Coordinate logistics for ARIN meetings to include rooming lists, meeting space, F&B & AV needs, off-site entertainment, transportation, staff & speaker travel. Manage meeting registration, provide on-site coordination for international and domestic shipments for meetings, industry tradeshows and other events as required. Contract negotiation: Provide full cycle support to contract all services required for meetings, to include, hotels, court reporters/transcription services, webcasting, AV, transportation, security, catering and insurance. Financial coordination: Manage and track entire meeting budget to include registration, brochure development and other meeting correspondence, mail distribution, attendee giveaways, off-site venue catering, social events, and rooming for staff and guests. Reconcile all invoices post-meeting.
