Administrative Specialist
Current• Working with vulnerable children and adults within the Oxfordshire community and providing them with front line support during their use of the service, Helping to solve any queries they may have. Both over the phone and face to face. • Completing in-depth research into opportunities to benefit clients, helping create/sourcing individualized resources to be used with clients, and attending/minuting meetings with clients and workers. • Working within a team of administrators to ensure all aspects of Administration are covered so, as a team, we are able to provide an outstanding support service to the Social & Early Help workers. • Handling and sharing sensitive information with a knowledge of data protection laws. • Maintaining client databases including running reports for social workers across Oxfordshire and updating confidential client data. • Compiling legal dossiers on client cases that are due to be heard in court. • Managing finances and handling the movement of large cash flow. This includes paying suppliers, paying in checks, receiving and handing client charity grants, researching and buying client goods, Setting up BACS payments, paying out cash to clients. And purchasing every day resources for the offices (Pens, paper, etc.) • Liaising with businesses and clients and arranging appointments between them. • Helping to manage and maintain buildings and grounds, running daily safety checks and fire checks (as a fire marshal), and booking of contractors. • Reception duties including taking and connecting calls, signing in/out staff and clients, and booking rooms. • Using and creating excel spreadsheets in order to track finances and goods.
