Responsible for planning and organizing external events and/or meetings for the organization. Also responsible for all operational, implementation and post-event activities. The incumbent in this position performs a diversity of duties which range from the complex to routine. The purpose of the work is to provide effective meetings and events. The accuracy, timeliness and acceptability of the work product impacts upon other staff, management, members as well as the entire operation of the association. The association relies on the incumbent to ensure the accuracy of even the smallest details, while maintaining overall coordination of significant events and activities. Coordinates the activities of all subcontractors, vendors and volunteers as required to successfully execute all aspects of the event on the scheduled delivery day. Trouble-shoots and manages issues relating to the successful execution of the event program. Provides post-event analysis, budget recaps and participant feedback. Incorporates learning into future. Develops event reports and distributes as required. Determines fiscal requirements and prepares budgetary recommendations for annual organizational contributions. Facilitates agreements with outside vendors and subcontractors to ensure lowest cost and highest quality of service. Works closely with internal staff, committees, members and outside groups to define event goals, objectives and specific implementation plans. Establishes communication protocols and operating procedures with planning committees, vendors/subcontractors and program staff. Maintains a calendar of events for officers and implements a system that enables and anticipates long-term planning and effective event management for the organization’s meetings, conferences and events.
