Responsible for managing the operations and logistics for a large scientific meeting with over 30,000 attendees and 10,000 rooms on peak annually. • Negotiate hotel contracts with a yearly value of $10 million over approximately 50 hotels.• Responsible for operations and logistics for events at all venues including vendor orders and financial reconciliations• Manage all room blocks to ensure maximum pick up and reduce costs for both attendees and the Society.• Oversee the registration and exhibits functions.

• Responsible for all financial and logistical aspects of planning and executing two annual conferences and exhibit halls, five conferences, and other smaller meetings annually.• Instituted individual event budgets based on historical expenses and projected and contracted venue expenses. Instituted tracking mechanisms for establishing current and projected budget status. Monitored revenue, negotiated with vendors to reduce costs, informed leadership about meeting expenses, and set goals to make the meetings viable.• Managed the exhibit hall process for both annual conferences from the decorator RFPs to onsite management.• Created and instituted consistent proposal and contracting standards for all event vendors to ensure that all requirements were addressed and concessions were standard across events.• Negotiated 25 new hotel contracts and contacted properties with existing contracts to achieve the best overall financial outcome for the organization. • Instituted historical tracking for hotel pickup and F&B use to project future needs more accurately.

• Managed the international registration process for 1,500 delegates from 70 countries. Primary contact and information liaison for planners and delegates. Negotiated hotel contracts for city wide housing blocks of 4,000 room nights on peak night. Managed rooming lists for all international delegates, which were complimentary to the delegate, and reconciled all hotel master bills.• Wrote the specification requirements and performed the quality control checks for the consolidation of two online public access Pow Wow databases with the internal registration database. Wrote and edited an instruction manual for the meetings department for the new consolidated database, as well as the general functions for International Pow Wow.

Coordinated all logistics for international conferences of varying size; arranged international travel; enforced US government travel regulations; site selection and contract negotiation both in the US and overseas; established and coordinated temporary offices; and created, monitored and reconciled program budgets and funds.
