Office Manager
Current• Organize/Establish office operations and procedures to maximize coordination of staff and efficiency. • Assist with the management of accounting to include A/P, A/R, deposits, reconciliations, check runs, and liaising between vendors, subcontractors, and other external partners.• Receive incoming telephone calls, messages, mail and packages to the office and direct them to the appropriate personnel in a courteous and customer-oriented manner while maintain meticulous records. • Manage entering, tracking, recording, scheduling and follow-up of warranty service calls and requests within BuildTopia & BuilderTrend.• Maintain accurate records and files for current and historical sales, project management, project development and business filings.• Maintains knowledge of the company’s values and strategic plans and supports the development of written corporate policies.• Works closely with the company’s leadership team to prioritize and improve processes throughout the business process, including follow-up and task management.• Write professional correspondence, both written and electronic, for internal and external communications.• Compose/Modify contracts, addendums and send for signatures via DocuSign.• Assist with the administration of company database/software including the composition and publishing of professional reports.• Assists with research related to project development/sales using all available resources, including local government and regional regulations.• Provide general support to visitors, customers, and callers.• Maintain office management (supplies, repairs, activities, scheduling of service).
