CurrentProvide a full range of secretarial & administrative and office support including purchasing and facilities management to COO, and Department Heads and Managers.Act as the first point of contact for COO and Department Heads= Gatekeeper to ensure the smooth running of COO’s officeSchedule Department, Cross functional & External meetings, arrange conference calls, receive visitors, screen phone calls for COO and Department Heads.Manage calls, emails and a very busy calendar of the COO, accepts or declines commitment on her behalf, and prioritize complex schedules.Coordinates and follow up with the Managers and Heads for the needed information, reports/data, presentations in preparation for the COO’s meetings.Monitor and screen all incoming & outgoing correspondence for the COO, prioritize according to importance and bring relevant communication to her notice for action.Receive all bills and other documents pertaining to Administrative and Financial for COO’s approval.Assists in coordinating the visits for International and Local clients including collation of meeting materials/agenda.Organize travel schedule of Chief Operations Officer, Heads of Department and Managers including visa arrangement, flight booking, hotel accommodation, meetings & documents required.Prepare the Expense report of Chief Operations Officer and Department Heads.Organize and develop an easy to follow filing system (physical and electronic files) for all internal files, minutes of meeting, and all documents of Operations Department. Maintains a variety of electronic documents & presentations within OperationsArrange meeting agenda and ensure presence of all meeting requirements which include preparing meeting facilities, materials and coordination with attendees.Attending meetings and taking minutes for circulation to all attendees and makes follow ups on the pending actions.Routinely order department stationery supplies, furniture and uniform for Operations staff
