Executive Assistant
Current• Provided executive level administrative support to the senior vice president of marketing and his direct reports as they interface with internal and external clients up to the most senior level executives in the business. Prior to this supported two VP’s and their teams within Marketing. • Handle heavy rotations of meetings scheduling with the ability to be flexible and spontaneous as well as coordination of meeting logistics of various magnitudes that may include but not limited to room reservations, conference numbers and preparation of meeting materials • Handle travel arrangements , travel itineraries, preparation of expense reports and submissions to Finance• Manage the reconciliation of departmental expenses on purchasing card• Prepare and proofread documents, organizational charts, meeting materials, phone lists, etc., utilizing Word, Excel and PowerPoint and Adobe InDesign• Serve as the department volunteer champion helping to organize team builds and encouraging departmental participation in community outreach projects; selected to represent ESPN at the Special Olympic World Games in Los Angeles in 2015• Provide general administrative support for entire department including but not limited to faxing, filing, ordering department supplies, answering busy phone lines, copy machine maintenance and conference room management• Participate in the new hire onboarding process• Assist in coordination of departmental meetings, events and projects• Ability to make quick, sound decisions and troubleshoot various issues as they arise• Collaborated with department quarterly planning team helping to provide research on venues, speakers and food• Manage the department weekly schedule, distribution lists, subscription, phone and birthday lists• Utilize the SharePoint site to request tickets for internal and external clients• Contributed to the Sales and Marketing internal newsletter and was a member of the committee
