Service Coordinator
Reports To: Service ManagerDepartment: Office/FieldJob Function: The primary function is to provide administrative support functions to the Service Department, including purchasing and invoicing.Specific Duties:Invoicing Complete daily invoices from previous day• Enter parts, description of work performed, and miscellaneous charges from service technician work orders to create invoice.• Research and determine any miscellaneous charges• Decipher and reword as needed handwritten work orders• Verify Labor Time on work orders Advise discrepancies between timecards and work orders • Advice SM of discrepancies between timecards and work ordersService Agreements:• Create master sales order for each customer, confirm agreements are invoiced and incremented correctly • Handle Service Agreement renewals• Insure schedule is kept up to dateWarranty Tracking• Enter warranty claims for service work performed on equipment still under warranty for several different manufacturers• Track outstanding warranty work and work with Service Manager to escalate issues as needed. • Enter Startup Registrations, scan onto company drive• Follow up and ongoing collections on warranty receivablesPurchasing• Obtain materials quotations as needed• Research and order parts – enter purchase orders• Reconcile open purchase orders and orders not yet invoiced• Call on parts orders to determine ETA for scheduling purposesTech Leads • Entering and tracking*Update Emergency Contact number every Monday*• Filing and office support functions. • End of month reconciliation service order and purchase order reports
