Duty Manager and Event Coordinator

As Senior Program Coordinator, the position needs to covers three main areas: 1. Program Management: - Monitor and and deliver ACICIS' existing Yogyakarta and Malang based programs, including managing immigration process for all programs; - Develop a complete Monitoring and Evaluation cycle for ACICIS' Indonesia programs, including Key Performance Indicators, outcomes and outputs in order to better tracj program development and progress; - Develop and Update ACICIS' 2016 Standard Operating Procedures (SOP) Manual;- Working with all the Program Assistants to keep accurate and regularly updated records of all Yogyakarta programs. - Working with the Office Manager to design and acquit budgets for all aspects of Yogyakarta programs, and to project future semester and tour budgets based on previous statement and financial tranches. 2. Staff management: - Develop and put in place an effective and thorough performance management system for all ACICIS Yogyakarta PAs, based upon Key Performance Indicators and quarterly performance reviews;- Providing direct guidance and management of staff workload to PAs, junior staff and interns through regular 'check in' meetings, documenting these meeting through weekly written summaries; 3. Student and Stakeholder Relations Management: - Counselling participants on matters of adjustment to Indonesian life, including attention to physical adjustment, Indonesian norms of behavior and expectations regarding dress and use of appropriate language;- Assisting the Deputy Resident Director and/ or Resident Director in providing assistance to students in routine and/ or emergency medical or security procedures, and assisting in updating and reviewing the Yogyakarta Risk management Strategy Guidelines as requested from time to time;- Working with ACICIS partner universities staff to monitor;- Representing ACICIS at functions and other events, which may include giving presentations or making speeches in English or Indonesian.

Main key responsibilities as Tours Coordinator: - Planning and conduct the Indonesia Tours and School Tours Program;- Manage all pre-departure work and in-country logistics;- Provides administrative and pastoral care support for the duration of the tour. Additional responsibilities to the position: - Counselling ACICIS participants on matters of adjustment to Indonesian life;- Training junior member of staff, conducting inductions and monitoring their on going progress;- Develop ACICIS Training modules and exercise to staff and designing ACICIS Standard Operating Procedure (Manual)- Assisting the Resident Director with matters of risk management and risk management training for new staff and students.
